1. Reservation & Confirmation

A reservation is confirmed only upon receipt of a signed rental agreement and a $300.00 security deposit. Date holds are not guaranteed until both are received and acknowledged by Boom Ballroom.

2. Payment

The full rental balance is due no later than 7 days before your event date. Payments are accepted in cash or via Zelle to payments@boomballroom.com. A payment receipt and updated balance will be emailed after each payment is received. If for any reason you are unable to pay the full balance by the due date, it is your responsibility to contact Boom Ballroom in advance and communicate when the remaining balance will be paid.

3. Cancellation & Rescheduling

Cancellations made fewer than 7 days before the event date result in forfeiture of all monies paid, including the security deposit, with no eligibility to reschedule. Cancellations made at least 7 days in advance receive a full refund of all payments except the security deposit. In that case, the client may elect to apply the deposit toward a future booking, provided the new event is scheduled and takes place within 12 months of the cancellation date. This option may only be exercised once — if the rescheduled event is cancelled for any reason, the deposit is permanently forfeited. If the rescheduled event takes place successfully, the deposit is refunded under the same conditions as the original booking.

4. Security Deposit & Refund

A $300.00 refundable security deposit is required at the time of booking. The deposit will be returned within 48 hours after your event via Zelle, Cash App, or in person, provided the venue is left in acceptable condition. Deductions apply for damage, late departure, smoking violations, or improper waste disposal.

5. Partial Security Deposit

In some cases, Boom Ballroom may accept the security deposit in two payments at its sole discretion. If a partial deposit is accepted, the reservation is not fully confirmed until the complete $300.00 security deposit has been received. The remaining deposit balance must be paid in full no later than 7 days after the first payment. If the remaining balance is not received within 7 days, Boom Ballroom reserves the right, at its sole discretion, to cancel this contract and release the reserved date to other clients. In the event Boom Ballroom exercises this right, any partial deposit paid will be refunded to the client.

6. Venue Capacity & Equipment

The venue accommodates a maximum of 80 guests. We provide 10 banquet tables (8 chairs each) and 3 additional tables for food, cake, or gifts. Clients may use the furnished tables, chairs, and shelving. The refrigerator will remain locked during events. All tables must be covered to prevent staining — you may rent tablecloths from Boom Ballroom or bring your own.

7. Cleanliness & Waste Disposal

All items brought in must be removed before checkout, including food, drinks, decorations, personal belongings, and third-party rental equipment. Three trash bins with clean bags are provided; you must supply additional bags as needed. All trash bags, including those in the restrooms, must be deposited in the dumpsters located directly behind the building before leaving. Failure to properly dispose of all trash and remove all belongings may result in a deposit deduction of up to $100.00.

8. Smoking & Fire Safety

Smoking is strictly prohibited inside the venue. Evidence of smoking results in an automatic $25 deduction from the security deposit. Cooking inside the venue is not permitted. Warmers and chafing dishes may be used to keep pre-cooked food warm. Grilling is permitted in the rear exterior area only. Open flames are prohibited inside the hall.

9. Beverage Policy

Canned beer is permitted on the premises. Bottled beer is not allowed. The sale of any alcoholic beverage is strictly prohibited. Bottled liquor may be brought in but must remain behind and be served from the bar area only. Renters are responsible for ensuring that no guest consumes alcohol outside the venue, including in the parking lot or behind the building.

10. Venue Key, Close-Out & Security

Boom Ballroom will issue the renter a key to the venue on the day of the event. The renter is responsible for safeguarding the key and for ensuring the venue is locked whenever they step out temporarily. Boom Ballroom assumes no liability for items lost or stolen during periods when the venue is left unsecured. We recommend that event hosts park up to 2 vehicles in the rear of the building for the duration of the event, so that at close they can lock the front doors from the inside, leave the key on the bar, and exit through the back door — which locks automatically when closed. If the key is lost, a $20.00 replacement fee will be deducted from the security deposit. The venue is equipped with security cameras; footage may be reviewed in the event of disputes regarding the condition of the venue upon exit or late departure.

11. Event Timing & Late Departure

Each reservation has a fixed start and end time as specified in the contract. The venue should be vacated and left in acceptable condition by the contract end time. A Boom Ballroom representative may or may not be present at the conclusion of your event — regardless of staff presence, the renter is solely responsible for terminating the event, completing teardown, disposing of all trash, and exiting the premises by the contract end time. A 30-minute grace period will be allowed, after which Boom Ballroom can charge a late fee at their discretion. Exiting more than 59 minutes past the contract end time will result in automatic loss of the entire security deposit.

12. Guest Conduct & Minors

The renter is responsible for the conduct of all guests. Minors must remain inside the venue at all times. Boom Ballroom reserves the right to terminate an event without refund if guests engage in unlawful activity, cause damage, or violate any venue policy.

13. Special Requests

All special requests must be pre-approved by Boom Ballroom and documented in the Notes section of the signed contract. Undocumented requests are not guaranteed. Boom Ballroom reserves the right to deny or revoke any request not included in the signed agreement.

14. Liability

Boom Ballroom LLC is not responsible for the loss, theft, or damage to any personal property brought onto the premises. The renter assumes full liability for the conduct of their guests and agrees to indemnify and hold Boom Ballroom harmless from any claims, damages, or costs arising from the event.
